AI for Business · Sales
An AI sales agent replies to new leads fast, asks a few questions, and books a call. Here is what that looks like in real life, what it costs, and how to set one up without getting in trouble.
Most leads go cold for one simple reason: nobody answers them fast enough. Someone fills out a form at 9 PM. By the time a person replies the next day, they have moved on.
An AI sales agent fixes the speed problem. In this guide, I explain what one does, what it does not do, and how to set one up in HighLevel. I checked HighLevel's help center and pricing on October 20, 2026.
Quick answer
An AI sales agent is software that talks to your leads for you by text, chat, email, or phone. It replies right away, asks qualifying questions, books appointments on your calendar, and hands off to a person when needed. When its main job is booking calls, people often call it an AI appointment setter. In HighLevel, you can build one with Conversation AI for messages and Voice AI for calls, with AI plans from $50 a month per location or pay per use.
What an AI sales agent actually does
Think of it as a fast, polite front desk for your sales. It does not replace your closer. It gets the right people to your closer.
Here is the basic flow. The picture is my own example card, and the steps are written out below it.

- Reply fast. A new lead texts, fills out a form, or messages your page. The agent replies within moments.
- Ask a few questions. What do they need? When? What is their budget or location?
- Book a time. If they are a fit, it offers open times from your calendar and books the call.
- Hand off. If they ask something it cannot answer, it passes them to a real person.
That is it. No magic. Just speed and the same questions, every time. Results are not guaranteed, and how well it works depends on your offer and your setup.
AI sales agent vs AI receptionist
These two overlap, but the goal is different.
- An AI receptionist answers incoming calls and questions for any reason. Think hours, prices, directions.
- An AI sales agent focuses on new leads. Its job is to follow up, qualify, and book.
Many businesses use one tool for both. If phone answering is your main need, read my guide to AI receptionist software.
How it works in HighLevel
I build these in HighLevel. It has two parts that matter here.
Conversation AI for text, chat, and social
HighLevel's help center says you can connect a bot to "SMS, Email, Facebook, Instagram, WhatsApp, Chat Widget/SMS Chat, and Live Chat." It lists lead capture and appointment booking as core features. The bot can help contacts "book, reschedule, or cancel appointments based on your configuration."

It has two live modes. The help center says: "Suggestive mode creates reply suggestions for your team to review and send manually. Auto-Pilot sends replies automatically based on the bot's configuration."
My advice: start in Suggestive mode. Read what the bot would say for a week. Then switch to Auto-Pilot when you trust it.
Voice AI for phone calls
HighLevel's Voice AI agents "can answer calls, respond to common questions, collect caller information, and complete actions such as booking appointments or transferring calls." So your phone line can qualify and book too.
What it costs in HighLevel
You need a HighLevel account first. Plans start at $97 a month on the pricing page, checked October 20, 2026. The pricing page offers a 14-day free trial, and my partner page offers new customers 30 days.
Then you pick how to pay for the AI. HighLevel's AI pricing article, checked October 20, 2026, lists three options:
- Pay-Per-Use: no monthly fee. Conversation AI is billed at token cost.
- AI Employee Growth: $50 a month per enabled location. It includes 1,000 Conversation AI agent responses and 100 Voice AI minutes a month.
- AI Employee Unlimited: $97 a month per enabled location, with unlimited Conversation AI and Voice AI, subject to fair use.

One more cost to plan for. The article says "Phone System charges still apply to all phone calls regardless of plan." Text and call charges are billed apart from the AI plan.

How to set up an AI appointment setter in 6 steps
Here is the simple path I would follow in HighLevel:
- Connect your calendar. Set the hours and the length of the call you want booked.
- Create the bot. In HighLevel, go to AI Agents, then Conversation AI, then Create Bot. The guided form setup is the easiest start for appointment booking.
- Write your questions. Keep it to three or four. Need, timing, and location or budget.
- Add your facts. Give it your services, prices you are happy to share, and your hours. Tell it what to do when it does not know.
- Test it yourself. Text it like a real lead. Try weird questions too.
- Go live in Suggestive mode. Watch it for a week, then move to Auto-Pilot.

The rules you must follow
This part is not optional. AI sales tools touch phone and text rules.
- Get consent. Only text or call people who agreed to hear from you.
- Register for texting in the US. HighLevel says A2P 10DLC registration "verifies who is sending business text messages, what type of messages are being sent, and how recipients consent to receive them." In HighLevel, you do it in Settings, then Phone System, then Trust Center.
- Be careful with AI voices on outbound calls. In February 2024, the FCC adopted a ruling that recognizes calls made with AI generated voices as "artificial" under the Telephone Consumer Protection Act. That brings consent rules into play.
- Tell people they can reach a human. Always give a clear way to talk to a person.
I am not a lawyer. If you plan outbound calls or texts at scale, talk to one.
Common mistakes to avoid
- Too many questions. Leads quit when the bot feels like a form. Keep it short.
- No way out. If someone asks for a person, make that easy.
- Old facts. If your prices or hours change, update the bot the same day.
- Going straight to Auto-Pilot. Test first. One bad reply can cost you a customer.
- Ignoring the inbox. The agent books calls, but someone still has to show up for them.
Watch: AI voice agents in HighLevel
This is my video on AI voice agents. It is pitched as an offer agencies can sell to local businesses, not as a guide for your own sales team. But it shows the same Voice AI tools in action.
My video: Pitched at agencies selling AI voice agents to local businesses, using the same HighLevel Voice AI tools. It came out in August 2026, so check today's prices above.
Any results mentioned in videos are not typical and are not a promise of income. Your results depend on your work and your market.
What to expect, honestly
- It will make mistakes. Check its chats every week and fix its instructions.
- It works best with warm leads. People who already asked about you.
- It does not fix a weak offer. Faster replies help, but people still need a reason to buy.
If you want to try it, you can start with my link: start a 30-day HighLevel trial (I earn a commission if you buy through this link). The standard trial on the pricing page is 14 days. Billing starts when the trial ends unless you cancel.
